PEO Cost Calculator FAQ

What does the admin fee cover?

The admin fee covers payroll processing, quarterly and annual tax filings (941, 940, W-2s), employee onboarding support, HR compliance guidance, and same-day COI issuance. It replaces the cost of a payroll service and HR consultant.

Why are SUTA rates different by state?

Each state sets its own unemployment insurance (SUTA) tax rate and wage base. Florida new employers pay 2.7% on the first $7,000 per employee. New York new employers pay 4.1% on the first $12,500. California new employers pay 3.4% on the first $7,000. Experienced employers may have different rates based on their claims history.

Does the PEO pay my payroll taxes on my behalf?

Yes. Under the PEO co-employment structure, the PEO is the employer of record for tax purposes. They remit all FICA, FUTA, and SUTA taxes on your behalf, file all required tax returns, and issue W-2s to your employees at year end.

When is the setup fee waived?

The $875 setup fee is waived for businesses with annual payroll over $125,000 that have no high-risk class codes (rate above 5%) and no prior workers comp claims. This applies to most mid-size businesses in low-to-medium risk industries.

How does pay-as-you-go workers comp work?

Instead of paying a large annual premium upfront, your workers comp cost is calculated each payroll cycle based on actual wages paid. This eliminates the need for a deposit and removes the risk of a year-end audit adjustment. You only pay for the coverage you actually use.

Can I use this calculator for multiple class codes?

This calculator handles one class code at a time. If your business has employees in multiple classifications, contact us for a custom multi-code quote. We can calculate your blended rate across all classifications.
